Need for control DOCUMENT: -

The system environment consists of a number of documents. Some systems should be provided for safe keeping of complex records. It 'important to clearly define where it should be kept and for how long, and who is responsible. Any written procedure must be checked and signed by an authorized person, with the issue number and date of issue. The management representative must have a list of all completed procedures, applicable to individual departmental activities. Against any document listed the number should be indicated together with the date last modified. It is also called "Master Copy". It is a yardstick against which every other copy controlled can be judged.

From time to time, the Management Review Committee and the corrective action may make recommendations for modification of the procedure. The Management Representative shall be responsible for implementing the change. To make a change, the new page should be circulated to the custodian of the controlled copy of the document with instructions to insert the new page in the order and return the page replaced the Management Representative. Therefore, obsolete documents are removed from circulation. The change, which was done, must be known to the staff and everyone should apply the new procedure. When a number of important changes have been made, a new complete manual must be released. The shelf life of these records can be preset by contract or policy and must be indicated in the manual on the environment .......
